About this policy
Letzscale S.à r.l.-S ("Letzscale", "we", "us") operates the website at letzscale.com. This policy explains what personal data we handle when you visit the site, apply for a free AI Visibility Snapshot or become a client, why we handle it, how long we keep it, and the rights you have.
Letzscale is registered with the Luxembourg Trade and Companies Register under number B309937. Our registered office is 19 Um Kalleksuewen, L-7480 Tuntange (Helperknapp), Luxembourg. We are the controller of the personal data described here.
Data we collect
Data you give us
- Free AI Visibility Snapshot form: the company name, email address and website address you enter, and whether you ticked the optional box for guides and tips.
- General enquiry form on the contact page: your name, email address and message.
- Call bookings: the name, email address and any notes you enter when you book a call through Cal.com.
- When you buy a plan: your name, company name, billing address, VAT number and billing email. Card or bank details are entered directly with our payment provider, Stripe; we never receive your full card number.
- Correspondence: the content of messages you send us and our replies.
If you tick the optional box on the free Snapshot form, we also send you occasional AI visibility guides and tips, based on your consent (Article 6(1)(a) of the GDPR). You can withdraw it at any time with the unsubscribe link in each email or by writing to us. Without the tick, we only email you about your Snapshot.
Data collected with the form
- The form section you used (for example hero, final call to action or contact) and, where present in the page address, the campaign tags utm_source, utm_medium and utm_campaign. We use these to understand which pages and campaigns lead to requests.
Data collected automatically
- Server logs, which record the IP address, browser type and time of each request, are used to operate and protect the site.
- If you allow analytics cookies, usage data collected by Google Analytics. If you allow advertising cookies, advertising measurement data collected by the Meta pixel and the LinkedIn Insight tag. See Cookies and consent below.

Who processes data on our behalf
- Hetzner Online GmbH, Germany, which hosts the website and its server logs.
- Google Workspace (Google Ireland Limited), our email service. Your Snapshot and our follow-up emails are sent from hello@letzscale.com.
- Web3Forms, which operates the form backend that receives the form submission.
- Cal.com, which handles call bookings when you choose to book a call with us. The booking page is on cal.com and covered by its own privacy policy.
- Stripe (Stripe Payments Europe Limited, Ireland), which processes payments and recurring subscription billing. Stripe is also an independent controller for some payment data, such as fraud prevention, under its own privacy policy.
- Google Analytics (Google Ireland Limited), for usage measurement, only if you allow analytics cookies.
- Meta pixel (Meta Platforms Ireland Limited) and LinkedIn Insight tag (LinkedIn Ireland Unlimited Company), for advertising measurement, only if you allow advertising cookies.
Professional advisers, such as our accountant, and authorities may receive data where the law requires it or where needed to establish, exercise or defend legal claims. We do not sell personal data.
International transfers
Our website is hosted in Germany, inside the European Union. Some of the providers above, in particular Stripe, Google, Meta, LinkedIn, Cal.com and Web3Forms, belong to groups with entities in the United States or other countries outside the European Economic Area, and personal data may be processed there.
Where that happens, the transfer relies on the EU-US Data Privacy Framework, for recipients certified under it, or on the European Commission's standard contractual clauses, together with the additional safeguards the provider applies. You can ask us for more information about the safeguard used for a given provider.
How long we keep personal data
- Free Snapshot requests, enquiries, call bookings and correspondence from people who do not become clients: 12 months after our last contact, then deleted within 30 days.
- Client data: for as long as you are our client. When the relationship ends, we delete it within 30 days, except the accounting records below.
- Accounting records (invoices, signed quotes and payment records, with the billing details on them): 10 years from the end of the financial year they relate to, as Luxembourg law requires (Article 16 of the Commercial Code). Nothing else is kept for this period.
- The website address and email domain from each free Snapshot request: 24 months, so we can keep the free Snapshot to one per company. Our legitimate interest in preventing repeated free Snapshots (Article 6(1)(f) of the GDPR).
- Guides and tips mailing list: until you unsubscribe or withdraw your consent, then removed within 30 days.
- Server logs: up to 30 days.
- Analytics data: 14 months in Google Analytics, then deleted automatically. Advertising measurement data is kept by Meta and LinkedIn under their own retention rules; we only see aggregated reports.
Your rights
You have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to certain processing, to receive certain data in a portable format, and to withdraw consent where we rely on it, without affecting processing already carried out.
To exercise a right, email hello@letzscale.com. We respond within one month and may ask you to confirm your identity.
You can also lodge a complaint with the Commission nationale pour la protection des données (CNPD), 15, Boulevard du Jazz, L-4370 Belvaux, Luxembourg, www.cnpd.lu, or with the supervisory authority where you live or work.
